Guidelines for Attendees
Packing for Freiburg
- We don’t have an official dress code, but business casual is encouraged.
- Late September in Freiburg usually brings mild autumn weather, with pleasant temperatures during the day and cooler mornings and evenings. As the weather can be changeable, we would recommend to pack layers, especially if you are planning to partake in outdoor activities.
- If you are traveling to Germany with prescription medication, please check the regulations in advance, as certain medicines may require additional documentation. See the official Federal Ministry of Health (Germany) information for details (website in German, but can be translated to English with with Chrome, Edge, or Firefox browser).

Travel in Freiburg
- Public transport in Freiburg is operated by VAG
- Trams are the most commonly used form of public transport in Freiburg, with lines 1–5 providing connections across the city; all five lines stop at either Stadttheater or Hauptbahnhof, both just a short walk from the Konzerthaus.
- Tickets can be purchased from the ticket machines on board the tram or via the VAG app

Venue Access and Logistics
Conference Office
- The Conference Office is located in the entrance area of Konzerthaus Freiburg and will be open daily from Sunday, September 27 to Thursday, October 1, starting at 8:00 until the end of the conference day. They will offer assistance with inquiries, lost and found, and general guidance.
QR Code
- Your personal QR code will be sent to you by email approximately one week before the conference starts. You will find it on your eTicket and in the wallet file included with your registration documents.
- Please have your QR code ready on arrival. You will need it to:
- enter the conference venue – your QR code will be scanned at the entrance
- print your name badge at the Conference Office
Name Badge
- After entering the venue, you can print your name badge at the Conference Office using your personal QR code.
- Your name badge is your conference ID. Please wear it visibly at all times, as it is required to access the conference venue and all activities included in your registration, such as pre-conference courses and social events.

- Sunday, 27.09.2026: 13:45–17:15 CET (upper floor accessible to pre-conference course participants only)
- Monday, 28.09.2026: 08:00–16:30 CET
- Tuesday, 29.09.2026: 08:00–15:00 CET
- Wednesday, 30.09.2026: 08:00–17:00 CET
- Thursday, 01.10.2026: 08:00–16:30 CET
- Running late? You can go directly to your session and print your name badge at the Conference Office later.
Admission
- Sunday – Pre-Conference Courses: Your personal QR code will be scanned in front of the respective course rooms.
- Monday: Your personal QR code will be scanned at the entrance to the Konzerthaus.
- Tuesday and Wednesday: Access will be granted to participants wearing their name badge. If you do not yet have a badge, please visit the Conference Office.
- Thursday: Your personal QR code will be scanned in front of the respective session rooms.
Conference Venue and Novotel Rooms
- The conference takes place throughout the Konzerthaus Freiburg as well as in selected rooms within the Novotel Freiburg am Konzerthaus.
- The Novotel conference rooms are directly accessible from inside the Konzerthaus. There is no need to leave the conference venue or use a separate hotel entrance.
- Please note that the only entrance to the conference is through the Konzerthaus. Upon arrival, please enter via the Konzerthaus and follow the on-site signage to your session room.
- Please check the Conference App for the room assigned to your session.
Wi-Fi Access
- Complimentary Wi-Fi will be available throughout the conference. Please note that there are two separate Wi-Fi networks: one for the Konzerthaus and one for the Novotel meeting rooms.
- The network names and access details will be provided onsite and in your conference materials.
Lost & Found
- If you have lost a personal item, please check with the Conference Office. All found items will be handed in and kept there.
- If you find a lost item, please hand it in at the Conference Office.
Luggage Storage
- A limited luggage storage service will be available on-site.
- As capacity is very limited, we strongly recommend leaving your luggage at your hotel whenever possible.
Schedule, and Conduct
Conference App
- Instructions for download and your personal schedule here.
- Important information and reminders during the conference will be delivered via push notifications through the official app.
- We recommend enabling notifications and checking the app regularly throughout the event.
Pocket Guide
- There will be printed pocket guides with practical information and the conference schedule available at the venue during the conference.
Conference Book
- Will be available for download as PDF on our website soon!
Punctuality and Safety
- Arrive on time for sessions, courses, workshops and social activities.
- Standing nearby entrance doors is prohibited due to fire safety regulations.
Events and Social
Early Career Researcher Gathering
- The event is fully booked – Participation status will be checked via name list at the entrance
- Date and time: Sunday, 27 September 2026, 18:00 – 22:00 CET
- Location: Feierling, Address: Gerberau 46, 79098 Freiburg, the room “Insel” is reserved exclusively for the Early Career Researchers. Please use the separate entrance to the room.
Excursions
- Participation is only possible with valid pre-booking. Participation status will be checked via name list
- Date and time: Tuesday, 29 September 2026, 15:15 CEST
- Meeting point for all excursions is in front of the Konzerthaus at 15:15 CEST
- Every group will be picked up and accompanied by a guide, who is recognizable by a coloured sign/flag (colours to be announced shortly)
- Participants will be informed about their group colour in advance

Conference Dinner
- Participation is only possible with valid pre-booking.
- Please note: There will be an admission control via your eTicket or the QR code on your conference badge.
- Date and time: Wednesday, 30 September 2026, 19:00 – 01:00 CET
- Location: Kultur & Bürgerhaus, Stuttgarter Str. 30, 79211 Denzlingen
- Shuttle service available:
- Departure in front of the Konzerthaus at 18:30 CET
- Return from 22:15 CET every 15 minutes until 01:15 CET
Certificate of Attendance
- Your certificate of attendance will be available for download from 1 October 2026 at 13:30 CET.
- Please use your personal area to access and download your certificate.
